System Map for the Case Company

In this task, the student builds a system map for the case company: they identify key information systems, draw an overall picture of them, and describe the roles of the systems. Additionally, the student analyzes the main data flows between the systems and considers why they are important for the company's daily operations. The goal is to understand how different information systems form a functioning (or developing) entity.

Learning objectives

After completing the task, the student:
1. Can identify the key information systems crucial for the case company's operations.
2. Understands the roles and user groups of different information systems in the case company.
3. Can describe the main data flows between the systems and understand their significance for the business.

Step by step

  1. Case Company System Map

    Objective:
    The objective of this assignment is that the student identifies the key information systems relevant to the case company and understands their roles as well as the data flows between the systems.

    Materials:

    • The selected case company description from the learning material.

    • The assignment is based on the information in the case description and the justified assumptions made about the company’s information systems.

    Assignment steps (instructions for the student):

    1. Choose the case company
      Select one of the available case companies.

    2. Identify key information systems
      Based on the case description, determine which information systems the case company likely has or would need.
      You may consider for example:

      • sales and customer management systems (e.g. CRM, online store)

      • production or service delivery systems

      • financial administration systems (invoicing, accounting)

      • inventory or supply chain systems

      • any other ERP or industry-specific systems

      Write a list of 4–8 key systems that are most important for the case company.

    3. Draw a system map
      Create a simple system map (for example, a hand-drawn image, slide or diagram) where:

      • each system you identified is its own “box”

      • data flows between the systems are marked with arrows (e.g. “order data”, “customer information”, “inventory balance”, “billing information”).

      The goal is not technical perfection but a clear overview: which systems interact and what information moves between them.

    4. Describe the role of each system briefly
      Write a 2–4 sentence description for each system:

      • what the main purpose of the system is (what it is used for)

      • who in the company typically uses the system (e.g. sales, production, finance, management)

      • why the system is important for the case company’s business.

    5. Describe key data flows
      Choose the 3–5 most important data flows from your system map and describe verbally:

      • from which system the information originates and where it goes

      • what information is being transferred (e.g. customer contact details, order lines, inventory status, billing information)

      • why this specific data transfer is important (e.g. order delivery, billing accuracy, functioning customer service).

      You may especially consider: what would happen if this particular data flow did not work?

    6. Briefly consider development opportunities (optional, if time allows)
      Write a short reflection (5–10 sentences) about which part of the system landscape would benefit most from development. For example:

      • is information flow fragmented

      • are the same pieces of information entered into several systems

      • is a key system missing completely.

    Submission and evaluation:

    • Submit:

      • a system map (image/diagram)

      • a short written explanation (1–2 pages) that includes:

        • a list of the key systems and descriptions of their roles

        • an explanation of the 3–5 most important data flows and their significance

        • a possible short development reflection

    • Evaluation focuses on how well:

      • you identify the systems essential to the case company’s operations

      • you understand the roles of the systems and their interconnections

      • you are able to describe the significance of data flows for practical business operations.

    • Recommended working time: approximately 90 minutes, individually or in pairs.

    • AI tools may be used to support ideation and diagram sketching, but the final system map and description must be the student’s own work.
