Task

Identifying Integration Needs


90 minutes

In this task, the student examines the information systems of a case company from the perspective of integrations. They identify 3–5 situations where automatic data transfer between systems would be important and consider the benefits that arise from integrations. Additionally, the student describes a sample process in which data flows from one system to another and demonstrates how integrations make the company's operations smoother and improve the customer experience.

Learning objectives

After completing the task, the student:
1. Can identify 3–5 key integration needs between the case company's information systems.
2. Understands what kind of business and practical benefits arise from integrations for both the company and the customer.
3. Can describe a concrete sample process in which data flows from one system to another through integrations.

Step by step

  1. Identifying integration needs

    Objective:
    The objective of the task is that the student, from the perspective of the case company, can identify where integrations between information systems would be needed, and understand the business benefits of integrations through concrete examples.

    Material:

    • The case description of the case company you have chosen from the learning material.

    • You may rely on the system map you previously created (if such was made), or if necessary, outline the key systems again briefly.

    Task progress (instructions for the student):

    1. Choose a case company and identify the key systems
      Choose one of the available case companies.
      Identify, based on the case description, the most important information systems or system types, such as:

      • sales and customer management systems (e.g. CRM, online store)

      • production or service production systems

      • financial management systems (e.g. invoicing, accounting)

      • inventory or logistics systems.

      Write a short list of 4–6 key systems.

    2. Identify 3–5 integration needs
      Consider where it would be important to transfer data automatically between systems.
      Choose 3–5 concrete integration needs, for example:

      • an order is transferred from the sales system to the production system

      • delivery information is transferred from inventory or logistics to invoicing

      • customer data is updated between CRM and financial management

      • online store orders are transferred directly to the warehouse and/or to enterprise resource planning.

      Write a short description for each integration need:

      • which two (or more) systems are involved in the integration

      • what data is intended to be transferred between the systems.

    3. Consider the benefits of the integrations
      Describe, for each integration need you chose:

      • what benefits the integration provides for the case company (e.g. less manual work, fewer errors, up-to-date information, faster delivery)

      • how the integration affects the customer experience (e.g. faster service, more reliable information, smoother interactions).

      Aim to link your reasoning to the case company's business and operations: what is important specifically for this company?

    4. Create an example process “the journey of data from one system to another”
      Choose one situation in which an integration would be important (e.g. order process, invoicing process, handling a complaint).
      Describe step by step an example process in which data moves from one system to another. For example:

      • what the customer does first (e.g. places an order, books an appointment, submits a contact request)

      • which system the data is stored in first

      • how the data moves to the next systems (e.g. sales → production → warehouse → invoicing)

      • at which stage the data returns to the customer (e.g. order confirmation, delivery notification, invoice).

      Write a clear text-based description of the process (e.g. 8–15 sentences). If you wish, you may also draw a simple diagram, but it is not mandatory.

    5. Summarise the key findings
      Finally, write a short summary (5–7 sentences) about:

      • why identifying integration needs is important for the case company

      • what risks arise if integrations do not exist or do not work

      • which of the integrations you selected would be the most important to implement and why.

    Submission and evaluation:

    • Submit a text of 1–2 pages that shows:

      • a short description of the case company's key systems

      • 3–5 concrete integration needs and the data related to them

      • the benefits of each integration for the company and the customer

      • one example process in which data moves from one system to another

      • a concise summary of the key findings.

    • The evaluation focuses on how well you:

      • identify logical integration needs based on the case company's operations

      • understand the business and practical benefits of integrations

      • can describe the process clearly and understandably.

    • Recommended working time: approximately 90 minutes, alone or in pairs.

    • AI tools may be used to support ideas and structure, but the final analysis and descriptions must be the student's own work.
