Task

Change Communication Plan



In this task, the student creates a change communication plan for a case company undergoing a change situation. They select the change, consider who needs to be informed, what channels will be used, what the main messages are, and when the communication will take place. The task helps to understand how planned communication supports the implementation of change and reduces uncertainty.

Learning objectives

After completing the task, the student:
1. Can create a change communication plan for a concrete change situation in the case company.
2. Can define the key target groups, communication channels, and main messages for change communication.
3. Understands how the timing and planning of communication affect the success of the change.

Step by step

  1. Change communication plan

    Objective:
    The objective of the assignment is that the student is able to create a clear change communication plan for the selected change situation in a case company. The student practices defining the target groups, channels, key messages, and schedule of the change communication.

    Materials:

    • The case description of your selected case company from the learning material.

    • If you wish, you may refer to a previously created change situation description (but this is not mandatory).

    Assignment steps (instructions for the student):

    1. Choose the case company and the change situation
      Choose one case company.
      Decide which change the communication plan will be created for. The change may relate for example to:

      • growth or expansion of operations

      • digitalisation and new systems

      • organisational change (e.g. team structure, management, ownership)

      • another change relevant to the case company’s situation.
        Write briefly (5–8 sentences) about the change the communication plan concerns.

    2. Define the target groups of the change communication
      Create a list of the groups that need to be informed about the change. Examples:

      • the staff as a whole

      • specific teams or occupational groups

      • supervisors

      • management

      • customers, partners, or other stakeholders.

      Write a few sentences about each target group:

      • what they especially need to know about the change

      • what concerns or questions they may have

      • how they can influence the success of the change.

    3. Choose the communication channels
      Decide which channels will be used for communicating the change to each target group. Examples:

      • team meetings, staff events

      • email, intranet, newsletter

      • supervisor–employee discussions

      • customer communication (newsletter, website, social media).

      Write a short description of which channel is used for each target group and why it is appropriate (e.g. opportunity to ask questions, speed, reach).

    4. Define the key messages
      Create 3–5 key messages you want to convey to all or most target groups.
      Key messages may answer questions such as:

      • what is changing

      • why the change is being made

      • what the benefits of the change are

      • what the change means in practice for different groups

      • how the change will be carried out and how it will be supported.

      Write the key messages as clear, short statements. You may specify how the same message is formulated for different target groups, if needed.

    5. Create a communication schedule
      Plan a simple schedule covering the key phases of the change.
      You may structure it for example as:

      • pre-communication (when the upcoming change is announced)

      • communication during the implementation (updates, situation reports)

      • post-implementation communication (results, feedback, follow-up actions).

      Write as text or in “phases” (e.g. weeks/months) when each communication action or event is intended to take place, and who is responsible for it.

    6. Briefly reflect on the prerequisites for success
      Write a short reflection (5–8 sentences) on:

      • what must be done to ensure successful change communication in the case company

      • what the main risks are from a communication perspective (e.g. lack of clarity, silence, conflicting messages)

      • how these risks can be prevented.

    Submission and evaluation:

    • Submit a text of about 1–2 pages that shows:

      • the chosen change situation

      • the target groups and their needs

      • the chosen communication channels and justifications

      • the key messages

      • the communication schedule

      • a short reflection on the prerequisites for success.

    • In the evaluation, attention is paid to how well:

      • the plan aligns with the chosen change

      • the target groups and channels have been considered appropriately

      • the key messages are clear and relevant to the change

      • the schedule is realistic.

    • Recommended working time: about 60 minutes, alone or in pairs.
