Task

Draft of Communication Calendar



In this task, the student creates a communication calendar for the case company that spans 1 to 3 months. They define the main objective of the communication, select the channels to be examined, decide on the publication frequency, and plan weekly themes. Additionally, the student assigns responsible persons and compiles the information into a clear text-based calendar. This task develops the ability to plan integrated marketing communication in advance and ensures that the communication is systematic rather than random.

Learning objectives

After completing the task, the student:
1. Can create a 1 to 3-month communication calendar for the case company.
2. Can define the publication frequency and themes of communication across different channels.
3. Can realistically distribute communication responsibilities among different roles.
4. Understands how a communication calendar helps ensure systematic and goal-supporting communication.

Step by step

  1. Draft communication calendar

    Objective:
    The objective of this assignment is for the student to create a realistic 1–3-month communication calendar for the case company. The aim is to practise planning publishing frequency, themes and responsible persons so that the communication supports the company’s goals.

    Material:

    • The case description of the selected case company from the learning material.

    • The assignment is based on the case description and on moderate, logical assumptions about the company’s communication channels and resources.

    Assignment process (instructions for the student):

    1. Define the period under review and the main communication objective
      Choose whether you will plan the calendar for 1, 2 or 3 months.
      Write briefly (5–7 sentences):

      • what the main communication objective is for the selected period (e.g. supporting a campaign, launching a new service, maintaining customer relationships)

      • what the case company wants customers to think or do at the end of the review period.

    2. Narrow down the channels to be reviewed and their roles
      Select 2–4 communication channels to be included in the calendar (e.g. social media, newsletter, website, in-store communication).
      Write briefly for each channel:

      • who it reaches

      • what its main role is (e.g. attracting attention, providing additional information, directing to sales).

    3. Define the publishing frequency per channel
      Decide and record how often each channel will be used during the selected period (e.g. social media 2 posts per week, newsletter once a month).
      Briefly justify:

      • why this publishing frequency is realistic given the case company’s resources

      • how the chosen frequency supports the main communication objective (too rarely vs. too often).

    4. Plan communication themes and main content
      Divide the review period into weeks (or similar periods) and assign 1–2 main themes for each week. Themes may relate to customer stories, offers, events, sustainability, employees or service benefits.
      Describe about ½ page:

      • what topics are emphasised during different weeks

      • how the themes appear across different channels (e.g. the same theme in a social media post and a newsletter from slightly different angles).

    5. Agree on responsible persons and practical responsibilities
      Define who in the case company (or which role) is responsible for:

      • content planning

      • producing text and images

      • publishing and monitoring (e.g. responding to comments).
        Write ½ page about how responsibilities are divided and reflect briefly on how to ensure that the calendar remains realistic and does not overload one person.

    6. Create a text-based communication calendar
      Write a clear text-based calendar description for the selected period. Describe week-by-week or month-by-month:

      • which channels are used

      • which themes are addressed

      • how many publications are made and who is responsible.
        The goal is that the reader can see from the text alone what the communication looks like for the next 1–3 months.

    7. Summarise conclusions
      Finally, write a 5–7-sentence summary in which you explain:

      • how your calendar supports the case company’s main communication objective

      • what challenges you see in implementing the calendar (e.g. lack of time, generating content ideas)

      • what one thing would be most important to consider if the calendar were to be used in practice.

    Submission and evaluation:
    Submit a text of approximately 1–2 pages that shows:

    • the selected period and main communication objective

    • the channels under review and their roles

    • publishing frequency per channel

    • weekly themes and main content

    • the roles of responsible persons, as well as a concise text-based communication calendar and conclusions.

    Evaluation will focus on how well you:

    • plan the communication calendar realistically in relation to the case company’s situation

    • take into account the roles and interplay of different channels

    • define clear themes, publishing frequency and responsibilities

    • write in a structured and well-reasoned manner.

    Recommended working time: about 45–60 minutes, individually or in pairs.
