Task

Organizing Marketing

In this task, the student plans how the marketing of the case company should be organized. They define key roles and responsibilities, consider which tasks are done in-house and which are outsourced, and describe the practical division of labor. Additionally, the student plans how marketing and sales will collaborate regarding goals, leads, and customer communication. The task helps to understand the organization of marketing as part of the overall management of the company.

Learning objectives

After completing the task, the student:
1. Can identify what kinds of roles and responsibilities the organization of marketing in the case company requires.
2. Understands the advantages and disadvantages of in-house work and outsourcing from a marketing perspective.
3. Can plan how the collaboration between marketing and sales is organized in practice.
4. Becomes skilled at preparing a clear and justified presentation of the organization of marketing for company management.

Step by step

  1. Marketing organization

    Objective:
The objective of this assignment is for the student to plan how marketing should be organised in the case company. The aim is to understand roles, responsibilities, the division between outsourcing and inhouse work and how cooperation with sales is arranged in practice.

    Material:

    • The selected case company’s case description from the learning material.

    • The assignment is based on the information in the case description (size, industry, resources, growth stage) and moderate, logical assumptions about the company’s staff and competencies.

Assignment process (instructions for the student):

    1. Briefly describe the starting point from a marketing perspective
Write 5–8 sentences about the current situation of the case company’s marketing:

      • who currently carries out the marketing tasks

      • which channels and typical activities are used

      • which challenges or development needs can be identified based on the case description (e.g. lack of time, lack of skills, fragmentation).

    2. Define the key marketing roles
Prepare a list of 3–6 key roles needed in the case company’s marketing, for example:

      • marketing lead / manager

      • content creator / social media coordinator

      • campaign and advertising coordinator

      • customer and marketing data analyst.
Write a short description for each role (3–5 sentences): what the key tasks and decision-making authority are.

    3. Consider what is done inhouse and what is outsourced
Divide the marketing tasks into two categories:

      • inhouse tasks (carried out inside the company)

      • outsourced tasks (purchased from partners, e.g. advertising agency, media agency, freelancers).
        Justify in about ½ page:

      • which tasks are reasonable to keep close to everyday business (e.g. customer communication, content production)

      • which tasks are more efficient to buy externally (e.g. technical ad management, advanced design, video production)

      • how to ensure that outsourced work remains aligned with the company’s goals and brand.

    4. Plan responsibilities and division of work in practice
Describe in text (about ½ page) how the day-to-day marketing work is organised:

      • who is responsible for planning and monitoring the overall marketing

      • who is responsible for the daily execution (e.g. social media updates, newsletters, practical campaign work)

      • how decisions are made on what to do next (e.g. monthly meeting, campaign plan, calendar).
Emphasise especially that marketing should not become “side work” but that the roles are clear.

    5. Describe cooperation with sales
Write ½–1 page about how marketing and sales work together in the case company. Answer at least:

      • how objectives and target groups are agreed together

      • how sales provides feedback on the leads and materials produced by marketing

      • what kind of practical interactions are arranged (e.g. monthly meetings, campaign feedback, a shared communication channel)

      • how to ensure that the customer experiences marketing and sales as consistent (same message, same promise).

    6. Prepare a short “organisation proposal” for management
Finally write a 5–7 sentence summary that you could present to the case company’s management:

      • how marketing will be organised going forward (key roles and responsibilities)

      • what is done inhouse and what is outsourced

      • how cooperation with sales will be arranged in practice

      • what the main benefit of this organisational approach is (e.g. more consistent marketing, better lead quality, clearer ownership).

    Submission and evaluation:
Submit a text of approximately 1–2 pages that shows:

    • the current state of the case company’s marketing

    • the proposed roles and their tasks

    • the division between inhouse and outsourced tasks and the justification

    • a description of how responsibilities and division of work are carried out in practice

    • a description of how cooperation between marketing and sales is arranged

    • a concise organisation proposal for management.

Evaluation will focus on how well you:

    • identify the case company’s needs and resources

    • plan the marketing roles and responsibilities logically

    • base the inhouse–outsourcing decisions on reasonable arguments

    • describe cooperation with sales in a concrete and feasible way

    • write clearly and in a well-structured way.

Recommended working time: about 45–60 minutes, individually or in pairs.
